We are looking for a proactive, people-focused, and highly organised Human Resources Executive to join our dynamic team.
This role plays a vital part in nurturing our staff’s professional growth, wellbeing, and day-to-day experience. Working closely with Senior Leaders, the HR Executive will contribute to learning and development initiatives, manage staff leave and replacements, and help maintain a positive and efficient workplace culture where every team member can thrive.
Role Overview
The Human Resources Executive supports the effective management, wellbeing, and professional growth of all staff within the school. The role combines responsibilities in learning and development, leave and absence management, and staff replacements, ensuring smooth day-to-day operations and a positive working environment. The HR Executive works closely with Senior Leaders to implement HR initiatives that promote staff engagement, compliance, and continuous improvement.
Key Responsibilities
Learning & Development
- Identify and assess training needs in collaboration with Senior Leaders.
- Develop and implement group and individual training plans for administrative staff.
- Support academic professional learning.
- Organise onboarding, internal and external training sessions, including venue coordination and supplier liaison.
- Prepare documentation, reports, and statistics related to training and development activities.
- Design and deliver HR and development projects, applying for funding when relevant.
- Maintain updated training records and evaluate feedback to enhance learning outcomes.
- Monitor trends in adult learning and HR development to support continuous improvement.
Leave & Replacements Management
- Process and approve staff leave requests in line with school policies, maintaining accurate records in Talexio.
- Advise employees on leave entitlements, balances, and procedures.
- Coordinate coverage for planned and unplanned absences, including teacher replacements and classroom supervision.
- Manage communications related to sick reports and absences, ensuring prompt allocation of replacement staff or class merges when required.
- Maintain accurate records of absences, replacements, and updated staff workload.
- Support operational continuity during emergencies or last-minute staff absences.
The ideal candidate will have:
- A recognised qualification in Human Resources, Business Administration, or a related field.
- A minimum of 2–3 years’ experience in HR, ideally within an educational or similar environment.
- Proficiency in MS Office applications, with previous experience working with iSAMS and/or Talexio being considered an asset.
- Experience in applying for funding such as Erasmus+, IIS etc.
- Strong organisational, communication, and multitasking skills.
- The ability to work effectively under pressure and maintain confidentiality.
- Familiarity with employment and education regulations in Malta is considered an asset.
